FixBlox is a UK-based AI receptionist service. We provide an automated phone-answering system that handles your business calls — qualifying leads, taking messages, and booking appointments.

What Data We Collect

When you use FixBlox — or when a caller interacts with your FixBlox AI agent — we collect:

  • Call recordings and transcripts — the full audio and text of every call handled by our AI.
  • Caller information — phone numbers, names, and any details the caller shares during the conversation.
  • Booking and appointment details — dates, times, service requests, and any notes taken during the call.
  • Account information — your name, email address, phone number, and billing details when you sign up as a FixBlox customer.
  • Website usage data — basic analytics such as which pages you visit and how you found us.

How We Use Your Data

We only use your data to make FixBlox work for you and your callers. Specifically:

  • To answer calls, understand what the caller wants, and book appointments or take messages on your behalf.
  • To improve our AI — call recordings may be reviewed to make the system more accurate.
  • To send you service-related emails (e.g. missed-call summaries, booking notifications, invoices).
  • To provide customer support if you have questions or issues.
  • To comply with UK law and regulatory obligations.

Who Sees Your Data

We never sell your data. We share it only with trusted third parties who help us run the service:

  • Our cloud hosting provider (where call recordings and data are stored securely).
  • Our telephony partner (who routes calls to and from our AI).
  • Our payment processor (for billing — they never see call recordings or caller data).
  • UK law enforcement or regulators, if required by law.

How Long We Keep Your Data

We keep call recordings and transcripts for 90 days, after which they are automatically deleted. Account information and billing records are kept for as long as your account is active, plus up to 6 years after you close your account (as required by UK tax law). You can request early deletion at any time — see the "Your Rights" section below.

Your Rights Under UK GDPR

Under UK data protection law, you have the following rights:

  • Right to know — to be told what data we hold and why (this policy covers that).
  • Right to access — to request a copy of all data we hold about you or your callers.
  • Right to rectification — to ask us to correct any inaccurate data.
  • Right to erasure — to ask us to delete your data (see "How to Request Deletion" below).
  • Right to restrict processing — to ask us to stop using your data while a request is being handled.
  • Right to data portability — to receive your data in a machine-readable format.
  • Right to object — to object to us processing your data for certain purposes.

How to Request Deletion

If you want us to delete your data — whether you are a FixBlox customer or someone who called a FixBlox customer — send an email to privacy@fixblox.com from the email address associated with your account (or include the phone number you called from).

We will process your request within 30 days and confirm once the data has been deleted. In some cases we may need to keep certain records to comply with legal obligations — we will let you know if this applies.

If you are a FixBlox customer, you can also delete call recordings directly from your dashboard at any time.

How to Make a Complaint

If you believe we have mishandled your data, please contact us first at privacy@fixblox.com and we will do our best to resolve the issue.

You also have the right to lodge a complaint with the Information Commissioner's Office (ICO), the UK's data protection regulator.
